Policy
In this policy, you will find important rules relating to email and Internet usage.
- This policy will provide guidance on how to use e-mail and Internet access, as well as what you are allowed to do and what you are not allowed to do.
- it is imperative to go through this policy carefully and adhere to its guidelines at all times.
Procedure
Professionalism, efficiency, and adherence to policies should be considered in all email communication. Employees are expected to always conduct themselves in a professional and ethical manner when using company e-mail or another mode of communication, whether externally or internally.
- The Company's email system is primarily intended for business use. Occasional and reasonable personal use is permitted, so long as it does not interfere with the performance of your duties.
- The Company stores all emails and may examine them at any time.
- Before sending any email, ask yourself how you would feel if your message was read aloud or if you were the recipient.
- It is optional if you want to obtain confirmation of receipt for important emails sent. If the return receipt is not acknowledged by the recipient and it is important to the Company to know the email was in fact received, it is your responsibility to do a follow-up email to get this confirmation.
- Keep all passwords secure.
- Throughout the day, make sure to check your email frequently.
- Emails requiring a response should be responded to within one business day. If a detailed response is not possible immediately, send an email acknowledging receipt and outlining when it will happen.
- When using email, do not impersonate anyone or modify any received message.
- Do not create unnecessary email congestion by sending trivial messages, personal messages, or by copying emails to those who do not need to see them.
- Please do not visit, view, or download any material from a Web site that contains sexually explicit or illegal material or that is offensive in any way.
- Do not download software onto the company systems without the prior permission of your manager and/or ownership. This includes software and shareware available for free on the Internet.
