Overview of the Night Audit shift at the Front Desk

Daily Tasks that will help you prepare for the day and anticipate our guests needs.


Preparing Breakfast To-Go Bags 

How to prepare the breakfast “to-go” bag during COVID 19

  1. Advise the guest that during COVID 19, we will not be serving our hot breakfast, but will have breakfast to-go bags available.
  2. Breakfast bags are served from 7am-9am.

Bag preparation:

  1. Night audit should prepare the bags for the AM shift.
  2. Pull an in-house guest list and add the number of adults and children in house.
  3. Not all guests will want a to-go bag so do not make a bag for ALL adults and children.
  4. The AM shift may have to prepare several bags if they run out.

Each bag should contain the following:

  1. One bottled water
  2. A fruit or fruit cup
  3. A granola bar
  4. A bagel (and cream cheese) or a muffin
  5. A breakfast burrito or breakfast sandwich

Daily Tasks/Checklist

Guest Services

  • Reach out to upcoming guests / bookings, personal touches, etc.

Front Desk

  • Cross-check bucket vs PMS data for all reservations (room type, rate type, payment status)
  • Checkout receipts for guests
  • Take Inventory of Amenities
  • Check all rooms on the Phone console and make sure their call settings are set to LOC only (local calls only). 
    • LOC = Local
    • LD = Long Distance & International
    • INT = Internal
  • Add wakeup calls for any rooms that have requested them.

Breakfast

  • Start preparing for breakfast

Accounting

  • Run PMS System Night Audit (if applicable)
  • Send all daily data spreadsheets, reports, etc
  • Audit all franchise reimbursements, rewards stays, etc
  • Send aging statements out to accounts receivables
  • Reconcile / audit OTA reservations
  • Reconciling all payment methods
  • Compare inhouse rooms rates, add-ons, packages, etc vs the booking

Housekeeping

  • Fold Laundry (if laundry room is adjacent)
  • Push laundry forward
  • Mop the floors
  • Clean the windows
  • Clean all public space bathrooms, toilets, etc
  • Restock
  • Note down the specific room numbers that have privacy / DND door tags to give the Housekeeping team a better idea of rooms for the coming day. 
  • Stock all houeskeeping carts
  • Prepare preliminary data for housekeeping boards

Facilities

  • Walk the property at the start of the shift and at around 3a (night audit)
  • Red Book (maybe create upload system)

Other Skills & Tasks

  1. Troubleshoot door locks
  2. Troubleshoot PTACs
  3. Cleaning best practices
  4. Troubleshoot internet, other network systems
  5. Troubleshoot general property infrastructure (water heater, power, fire alarm)

  • Door lock batteries
  • Marketplace
